Race Night - Frequently asked questionsHow long can we keep the films for? I need to cancel or postpone my Racenight! We have damaged one of your tapes. How much will we make on our race night? How much float will I need for the event? Do you have a Race Night brochure? We have never run a race night before and we are worried! How do I let the public know about our race night? We would like to produce our own programmes and entry tickets! We have had some very poor race nights in the past do you have a film sample? How do I connect my video to my projector? How Long Does Each Race Last?In general terms the races are an average of five minutes long including the introductions for each horse? Is a Race Night Legal?Generally the answer to this question is yes. You can check the department of culture media and sports web site here. This is a quote directly from the web site:-

amusement with prizes under section 15 of the Lotteries and Amusement Act
1976.
The race night must not be the sole
attraction and must be part of an exempt entertainment such as a bazaar, sales
of work, fete, dinner dance, sporting events or similar gatherings.'
However you do need to be careful when you select your race night supplier, some organisations supply races on one tape or DVD. At Racenight.me.uk we always supply individual, security sealed races. This means that you are staying within the law as race selection is totally random and totally dependent upon chance. Please ensure that you consult with your lawyer about this issue if you have any concerns. This information is not advise on your personal legal position. There have been changes to the Licensing Act 2003 which means that you will require a Premises Licence. Most venues already have one, but you may require a temporary event notice (TEN) All of this is explained at the DCMS web site. Again please confirm this with your legal adviser. How long can we keep the films for?When you hire films from us it is for the day of your event only. This is the date that you specify when you place your order. You can modify this date up to the day before your shipping date which is specified when you receive you order confirmation. You are expected to return your film the next working day after your event. This is to ensure that we can manage our film stocks and ensure that all client receive their films in a timely manner. If you require to hire your films for an extended period or fail to return your films within 5 working days of your event then you will be charged an extended rental fee of 15% per week until the film stock is returned. When do you ship our films?We aim to ensure that all of our client receive their films at least two days before their event. Most of our customers have their race nights on a Friday or a Saturday. We generally ship these race nights the Friday be for the event so the films should arrive on the Monday for the majority of our clients, the Scottish highlands can take up to three days. If you are concerned about our delivery policy please get in contact. Also if you have not received your films by the Tuesday before your event please call the office urgently. If you would like to have your films early we can ship them a week in advance for 15% of your rental fee. I need to cancel or postpone my racenight!Unfortunately there are time when even the best plans go amiss and a racenight needs to be cancelled or changed. Here at www.racenight.me.uk we are happy to help as much as we can. We are happy to move a date if you let us know five working days before your shipping date which you will receive when you place your order. This is subject to stock availability. However, if your request is received after this time you will be subject to full payment. If you which to cancel your event please let us know five working days before your shipping date. We will charge you a handling fee of £25 to cover our transaction costs. Whatever the case please get in contact as soon as you can and we will do the best we can for you - Contact Us We have damaged one of your tapes what happens now?We are unfortunately compelled to charge a replacement charge for damaged tapes. Please let us know of any damage so that we can ensure that no poor film stock is passed on to our clients. How much will we make on our race night?This is a question that we are often asked. As a general rule most of the organisations make at least £350. The current average of the client who respond to our feedback form is £583. You will make more money if you plan well in advance and get sponsors and owners for the races and horses. There is a section on the web site dedicated to this subject. - How Much Will We Make How much float will I need for the event?We recommend that you have at least £300 in change for an event of 100 people. If you use our easy tote calculator, available in the download section of the website, you will only require 10p's as the calculator rounds to the nearest 10p. This runs in excel and is free to use for all of our clients. Do you have a Race Night brochure?Yes we do. Unfortunately we do not send them out but they are freely downloadable from here. This is ideal if you are looking to go to a committee meeting an need some information to help decide on equipment and staff requirements. It also gives advise on how to maximise your income. In effect it offers the entire contents of the web site in a convenient printable format. Therefore you need to concentrate of getting peoples commitment to attend your event. The best way to do this is take some money from them when they agree to attend. It only needs to be a £1 or two but that will show that they are committed. If they can't attend then see if you can sell them ownership of a race or horse to show their commitment to your fundraising cause. How do I let the public know about our race night?We have another great free resource that you can make use of our poster builder. This is a web tool which allows you to create professional looking posters very quickly which you can print out directly. It's quick, it's easy and again it's free! We would like to produce our own programmes and entry tickets!A lot of our client prefer to generate their own race cards nowadays. The quality of home printers and photo copiers means that home or office production is a viable alternative to professional printing. We support our clients in this by supplying in our download section free to use downloads for race card insides and outsides. There is a word document which makes it easy to produce your own inside of the race card. You can include your own race names, sponsors, horse names and owners with jockeys. You can also use the race card as you entry ticket for the event. Our standard outside has a star in which you can place your admission fee. This will allow you to keep your costs to a minimum.
